You open the EDC system on a Thursday morning and see 23 open queries across your three active studies. That number is not alarming by itself -- you have managed more. But then you notice the aging column. Eight of those 23 queries have been open for more than five business days. Three have been open for more than 10. And one medical query -- a causality assessment question from the sponsor's medical monitor -- has been sitting untouched for 16 days.
At 9:47 AM, an email arrives from the sponsor's clinical data manager. The subject line reads: "Site 1042 -- Query Aging Report: Action Required." Attached is a spreadsheet with your site's open queries highlighted in red. The email is polite but unmistakable in its meaning: your site's query resolution performance is below the study's operational standards, and if the pattern continues, the sponsor will schedule a for-cause data review to assess whether the issue reflects a broader data quality problem.
This is not a hypothetical. It is a Tuesday afternoon for a coordinator who never built a system for managing query timelines. The resolution skills you learned in the previous lesson -- investigating queries, verifying against source, writing evidence-based responses -- are necessary but not sufficient. You also need to resolve queries within defined timeframes, track your open query inventory systematically, and escalate proactively when resolution is delayed. Those are the operational disciplines this lesson teaches.
