Record review
Review the date on your record
No generic validity period is assumed
- Read
- The issuer's credential and verification record
- Confirm
- The employer, sponsor, site, and study policy
- Document
- The reviewer, requirement, and accepted evidence
If your record does not state a date, contact the issuer. Do not calculate one by adding a generic number of years.

The policy chain
One credential can meet several different reviewers.
The issuer defines its record. Employers, sponsors, sites, studies, and applicable institutional processes decide what they will rely on. Check each layer instead of assuming one universal rule.
- 01
Credential record
Read the issue date, expiration or valid-through date, credential status, provider, course version, and verification details exactly as issued.
- 02
Issuer policy
Ask the issuer how its credential is renewed and what a missing or passed date means. Do not infer the answer from another provider's policy.
- 03
Organization policy
Confirm the employer's or site's current training standard, accepted providers, required evidence, and who is authorized to approve it.
- 04
Study requirements
A sponsor, protocol, or study team may set requirements beyond a general workplace policy. Record the requirement that applies to the specific work.
Renewal record
Build a reviewable renewal record
Keep the source, the requirement, and the person or office that confirmed it together. That is more defensible than relying on an assumed industry interval.
| Source | What to check | Who confirms it |
|---|---|---|
| Certificate or verification record | Dates, status, course version, and issuer | Credential issuer |
| Training or quality policy | Required course type, cadence, and evidence | Employer, site, or quality lead |
| Sponsor or study requirement | Study-specific training and provider rules | Sponsor or authorized study contact |
| Applicable institutional process | Any additional local review or documentation | The responsible institutional office |
Renewal options
Choose the evidence your reviewer requires.
A full course, refresher, original-issuer renewal, and internal assignment are different records. None is automatically equivalent everywhere; start from the documented requirement.

MyTrial Academy ICH E6(R3) track
- Use when: You want current ICH E6(R3) instruction or the reviewer asks for a complete course.
- Evidence: A free verifiable online completion record; the printable PDF certificate is an optional purchase.
- Confirm first: Ask whether this course and evidence satisfy the reviewer's requirement.
- 02
Original issuer's renewal path
- Use when: The reviewer requires continuity with the provider that issued the existing credential.
- Evidence: Whatever renewed record, assessment result, or status the original issuer provides.
- Confirm first: Ask the issuer what renewal means for that credential and whether a new date or status is issued.
- 03
Organization-assigned training
- Use when: An employer, site, or study assigns a specific course or internal learning path.
- Evidence: The completion record and any acknowledgement stored in that organization's training system.
- Confirm first: Ask whether the record is portable and whether another organization can verify it.
- 04
Third-party refresher
- Use when: The responsible reviewer explicitly accepts a shorter refresher for the requirement at hand.
- Evidence: The provider's stated completion evidence and curriculum version.
- Confirm first: Check the provider, content, assessment, date, and evidence before enrolling.
E6(R3) updates
What's new in E6(R3)?
Use the final ICH guideline, not a marketing summary, as the authority. These themes help you check whether a renewal course is current and relevant to your role.
Read the final ICH E6(R3) guideline- 01
Quality by design
Risk-proportionate quality management
The final guideline describes risk controls proportionate to risks to participants' rights, safety, and well-being and to the reliability of trial results.
- 02
Roles and oversight
Clear, documented responsibilities
Training should help learners understand which responsibilities belong to investigators, sponsors, and service providers, and how oversight remains accountable.
- 03
Computerized systems
Systems that are fit for purpose
E6(R3) addresses the design, use, validation, security, and control of computerized systems in relation to their purpose and risk.
- 04
Data governance
Integrity, traceability, and security
The guideline treats data governance across the data life cycle, with controls scaled to the criticality of the data and the associated risks.
Renewal workflow
A defensible decision in four steps.
This workflow works whether the stated date is distant, near, past, or absent, without inventing a universal deadline.
- 01
Step 1 · Capture the facts
Read the issued record
Record the provider, course, version, issue date, stated expiration or valid-through date, current status, and verification method.
Keep in mind: If a date or status is missing, do not manufacture one from the completion date.
- 02
Step 2 · Resolve ambiguity
Check the issuer's terms
Use the issuer's own instructions to learn what the date or status means and which renewal paths it offers.
Keep in mind: Ask the issuer directly when its public documentation does not answer the question.
- 03
Step 3 · Name the decision-maker
Confirm the reviewing policy
Ask the employer, sponsor, site, study team, or institutional office what it currently requires and who can approve the evidence.
Keep in mind: Record the policy, course or provider requirement, required evidence, and confirmation date.
- 04
Step 4 · Close the record
Choose and retain the evidence
Complete the path the reviewer accepts, then retain the resulting completion record with the requirement it was meant to satisfy.
Keep in mind: If circumstances change, such as a new employer or study, confirm the requirement again.
