Forty-seven queries, twelve unsigned pages, and two weeks

The email from the monitor arrives with the subject line "Pre-Close-Out Data Status -- Action Required." Attached is a spreadsheet. The coordinator opens it and finds the inventory of everything that remains undone: 47 open queries in the EDC system, 12 CRF pages missing investigator signatures, a request to verify regulatory binder completeness against the sponsor's essential records list, and a deadline -- database lock in two weeks.

Two weeks. For a coordinator who has been managing ongoing queries and signatures throughout the study, this is uncomfortable but achievable. For a coordinator who has allowed these items to accumulate -- putting off query responses during busy enrollment periods, deferring signature pages to "next month" -- two weeks is a crisis.

This lesson is about preventing the crisis. And for those already in it, about working through it systematically rather than frantically.

I want to be direct about something. Document reconciliation at close-out is not a new skill. You already know how to resolve queries -- Course 6 taught you that. You already know how to file documents in a regulatory binder -- Course 3 covered that thoroughly. What close-out adds is not new methodology but a new standard: completeness. During active study conduct, a few open queries and a handful of pending signatures are normal operational friction. At close-out, the standard changes. Nothing can remain open. Not one query. Not one unsigned page. Not one missing document. Everything closes.

That shift from "manageable backlog" to "zero tolerance" is what makes close-out reconciliation challenging. And the systematic approach this lesson presents is what makes it achievable.
