Execute visit procedures in correct sequence, document contemporaneously, manage participant experience, handle visit-day complications, and identify deviations in real time.
Everything you have learned about scheduling, preparation, and coordination converges in a single event: the study visit. The participant is here. The procedures must be performed. The data must be recorded. And everything must happen in the right order, at the right time, with the right documentation.
This is, in my experience, the moment that separates competent coordinators from exceptional ones. The competent coordinator gets through the visit. The exceptional coordinator gets through the visit while maintaining precise procedure sequencing, documenting every observation contemporaneously, attending to the participant's comfort and questions, identifying deviations as they occur rather than discovering them later in the data, and managing the inevitable complications that arise when biology and logistics collide.
A study visit is not a routine medical appointment. A routine medical appointment allows flexibility β the physician can change the order of assessments, add a test, skip a measurement. A study visit does not. The protocol specifies which procedures are performed, in what order, and within what time constraints. A pre-dose blood pressure taken after the dose is pharmacologically compromised. A trough drug level drawn 90 minutes before dosing instead of within the specified 30-minute window may not be analyzable. An ECG performed before instead of after the dose misses the safety assessment the protocol intended.
Order matters. Timing matters. And documentation β contemporaneous, complete, legible documentation β matters above all.
