Verify the currency, completeness, and accuracy of investigator qualifications documentation including CVs, medical licenses, GCP training certificates, and delegation of authority logs.
A clinical trial can have impeccable regulatory approvals, a flawless budget, and a beautifully organized essential records checklist--and still fail to activate because the principal investigator's curriculum vitae was signed in 2023, one sub-investigator's medical license expires before the first enrollment visit, and the research nurse's GCP training certificate comes from a provider the sponsor does not recognize.
I have seen it happen more times than I care to admit. And what makes it particularly frustrating is that none of these problems are difficult to fix. An updated CV takes 30 minutes. A license renewal takes a phone call and a fee. A new GCP certificate takes a few hours online. The difficulty is not in the correction--it is in the discovery. Specifically, in discovering the problem early enough that the correction does not delay the site initiation visit by two weeks.
Personnel documentation is the category of essential records most likely to contain deficiencies at the time of pre-activation review. Not because coordinators are careless, but because these documents belong to other people. The coordinator does not control when the investigator updates a CV. The coordinator cannot renew someone else's medical license. The coordinator cannot force a busy sub-investigator to complete GCP training. What the coordinator can do--and must do--is build a verification system that identifies every deficiency before it becomes a barrier to activation.
This lesson teaches that system.
